Responsible Use of CleverControl
CleverControl helps organizations understand how work time is spent, improve planning and protect business systems. We believe workforce analytics should be transparent, proportionate and lawful. This page explains the principles behind CleverControl, what we expect from our customers and how our integrations fit into responsible use.
This page summarizes our approach. The binding rules are set out in our Acceptable Use Policy, Terms and Conditions, EULA and Privacy Policy.
Our principles
Transparency. Monitoring should never come as a surprise. CleverControl is designed for monitoring that employees are informed about. The software does not support hidden or covert monitoring.
Proportionality. Organizations should collect only what they need. CleverControl lets administrators choose which features to enable, for which users and on which schedule, so monitoring can be limited to legitimate business needs.
Purpose limitation. Data collected with CleverControl should be used for the purposes employees were told about, such as time tracking, project reporting, workload planning and security.
Security. Workforce data is sensitive. We protect it with encryption in transit, access controls and secure handling of credentials.
Customer control. Customers decide how long data is kept and can delete it when it is no longer needed.
Customer responsibilities
CleverControl provides the tools; customers decide how to use them. Each customer acts as the controller of the personal data it collects with CleverControl and is responsible for using it lawfully. Before and while using CleverControl, customers must:
- have a lawful basis for monitoring under the laws that apply to them and their employees;
- inform employees and other users in advance about what is monitored, why, who can see the data and how long it is kept;
- obtain consent where the law, employment contracts or collective agreements require it;
- consult employee representatives or works councils where required;
- carry out a data protection impact assessment where required;
- limit access to monitoring data to authorized personnel;
- delete data that is no longer needed.
Requirements differ between countries and industries. We recommend consulting a legal advisor before deploying CleverControl.
What we do not allow
CleverControl must not be used to monitor people without their knowledge, to monitor personal devices without authorization, for personal or family surveillance, or to stalk, harass or discriminate against anyone. The full list is in our Acceptable Use Policy. We may suspend or terminate accounts that violate it.
Integrations
CleverControl integrates with business tools such as Atlassian Jira to connect time tracking with the tasks people actually work on.
- Built for time tracking. The Jira integration imports the tasks assigned to a user and records time spent on them as work logs in Jira. It is designed for time tracking, reporting and workload planning.
- Each user connects their own account. An administrator enables the integration for the organization, and each employee authorizes access to his or her own Atlassian account. No account is connected without its owner's authorization.
- Minimal data. We import only the data needed for the integration, such as user name, job title, avatar, projects and task titles and statuses. We do not import email addresses, task descriptions, comments or attachments.
- Monitoring data stays in CleverControl. Screenshots, keystrokes, browsing history, audio and video are never sent to Jira. Work logs contain only the start time and duration of work.
- No profiling. Integration data must not be used to profile individuals or infer sensitive characteristics about them.
- Access can be revoked. Administrators can disconnect the integration at any time, and users can revoke CleverControl's access in their Atlassian account settings.
CleverControl is an independent third-party product and is not affiliated with, endorsed or sponsored by Atlassian. Atlassian and Jira are trademarks of Atlassian.
